You may transform your emails into TeamGram notes and deals or connect them to existing deals by using the Smart Email feature. You may also create tasks by sending emails to the address assigned to your TeamGram account.

Any email you send to a special mailbox automatically becomes a TeamGram note. You can use this feature to selectively turn both inbound and outbound emails into notes.

An email address (e.g.: "yourtgaccount@import.teamgram.com) is assigned to all TeamGram accounts. Go to Control Panel > Smart Email to see the email address assigned to your TeamGram account.

 

To create a new note with Smart Email:

Write a new email or forward an already existing email to the address assigned to your TeamGram account.

This address must be in the "To", "Cc" or "Bcc" field of your message.

 

To create a new deal and to connect your note to a deal with Smart Email:

In the subject field of the email you’ll send to the address assigned to your TeamGram account, first type [deal] in brackets and then the name of the deal on TeamGram.

A new deal will be created with the name described in the subject field upon the delivery of the email. The body of your email, including the attachments, will be saved as a new note and will be automatically connected to this new deal. 

In case a deal with the name described in the subject field already exists on TeamGram, a new note connected to that deal will be created on TeamGram upon the delivery of the email.

 

To create a new task with Smart Email:

In the subject field of the email you’ll send to the address assigned to your TeamGram account, first type [task] in brackets and then the name of the task you want to create on TeamGram.

A new task will be created with the name specified on the subject field upon the delivery of the email.

The sender of the email will be added as the assignee of the task and the people in the "To" and "Cc" fields will be added as connections to the task.

 

Important:

1. Only emails sent from your primary email address will be processed.

2. Records created by smart emails will have your default access rights. You can always edit your notes and tasks and enter new settings after they are created.

3. We enforce SPF checks to prevent spam. If the emails you send to the above address do not appear in your newsfeed, the DNS for your internet domain may not have a valid SPF record. ** Once an email becomes a note, you can then edit it in TeamGram and connect it with the customer, contact, and any other related record.
